Organize an auto-shop front desk
Keep the customer's wait separate from the repair order and vehicle release.
Separate waiting for an adviser from waiting for a repair
A driver arriving at the workshop may need to check in, ask a question or collect a vehicle. Those are reception tasks. The repair itself can continue for hours after the conversation ends. Use Claari's pilot to organize the people waiting for that conversation while your existing workshop system remains the record for jobs, estimates, approvals and invoices.
Set the desk up before arrivals
Choose the reception tasks you want to manage. Separate check-in and pickup lines only if staff can actually attend them separately; creating more lines does not create more advisers or workshop capacity. Give each service a name drivers understand and identify who will call the next person.
Set up the location, services and appropriate staff access. Get the join QR from Locations and check that a customer can open it on a phone. Put the sign at the place people should wait, with an instruction to ask staff for help if they cannot scan. Run one practice visit before using the line with customers.
Keep your appointment diary and repair-order system open as needed. There is no verified integration that synchronizes those records with a Claari ticket. An appointment is still checked in your existing system; joining a line does not create a workshop booking.
Move the arrival into a conversation
Greet the driver and confirm the reception task. The customer can join by QR without an app or account, or staff can add the person with assistance. A private ticket follows the queue visit. It is not a vehicle tracking page or an estimate of repair completion.
Keep sensitive job details in the system intended for them. Do not ask people to put payment details, identification documents, vehicle history or repair authorization into the queue merely to get a place. Use the ticket number when calling across the waiting area. A ticket-number lobby display can support that process without showing customer names and emails.
Call next when an adviser is ready to receive the customer. During the conversation, find or create the job in your existing workshop system. Hand the job to the technician through that system, and follow your usual process for keys, inspection, authorization, parts and vehicle release. Update the queue visit to reflect the reception interaction. Marking that visit done means reception is finished; it does not mean a repair is finished, a vehicle is safe to drive or an invoice has been paid.
The adviser records the customer's authorization and promised update in the work order. The technician records findings and completion there; the parts owner reports shortages to the adviser. The adviser contacts the customer using the existing communication process, and checkout confirms payment and the workshop's release checks before handing over keys. Claari does not perform or verify those steps. A pickup queue can organize the final desk conversation, while that separate evidence determines vehicle release.
Own the exceptions and the handover
If the customer is absent when called, check the waiting area before applying your agreed no-show practice. Keep manual calling available. Email is conditional on configuration and recorded delivery outcomes; it should not be the only way the desk can find someone already on site.
If a page or join result is uncertain, reception checks the original visit before adding or joining again. Use the agreed manual list during an outage and reconcile it with people present afterward; there is no promised automatic offline synchronization.
When advisers change shifts, review unresolved queue visits and the separate jobs they are handling. Pass the necessary job reference through your existing internal process rather than assuming Claari transferred it automatically. At closing, reconcile people still waiting and explain the next step to each.
Next step: Start the free pilot with one reception task. Use the daily operations guide to decide who owns opening, handover and closeout before expanding the process. The staff console currently remains in English.
